1. Preparations / Set Up

1.1 Turn on Monitor & Camera - Push the On/Off switch on the black power strip under the monitor. This will power on both the monitor and the adjacent Sony camera.

1.2. Turn on the LCD Projector - Open the central wooden cabinet to reveal the Audiovisual Control Panel (Fig 1). Push the ON button (D) to turn on the LCD projector. A blue image will appear on the screen after a few seconds. A red light indicates that the system is coming online; a green light indicates it is ready for use.

1.3. Locate the two remote controls - Move the remotes dedicated for videoconferencing to the table. They are:

• Polycom remote (Fig.2): Controls the videoconference itself.
• Sony remote (Fig.3): Controls the local video image of the camera on the monitor

2. The Videoconference Session

2.1. Enable your session - To start a Videoconference, do the following:

1. Push the Video Conference button (B) on the Control Panel to enable your session

2.2. Adjust local camera view - To adjust the local camera view use the Sony remote control (Fig.3) to move the camera to the desired location before you make a video call.

• To Pan and Tilt, use the Pan & Tilt arrow buttons 8
• To slowly zoom in/out, use the Slow Zoom buttons 10
• To fastly zoom in/out, use the Fast Zoom buttons 9

3. Videoconference Calls

3.1 Placing a Videoconference Call - To place a call, use the Polycom Remote (Fig.2) look at the monitor and follow these steps:

1. Press the Menu button 6
2. Using the Navigation Arrows 5 highlight the Address Book icon
3. Press the Enter button 2
4. Using the Navigation Arrows buttons 5, highlight your selected location
5. Press the Enter button 2 again

The conference unit should start making telephone ring sounds and communication should be established within seconds,

PS. If you receive a "Call Rejected" notice, the other party is not accepting the call. They are not ready or available to take the call.

3.2 Ending a Videoconference Call - To end a call and terminate your session:

1. Press the Call Hang Up button 1, The Call Hang up screen appears
2. Press the Enter button 2 to disconnect

4. Sharing laptop presentation during Video Calls

4.1 Sharing your laptop presentation with participants at other locations – Use the 'Visual Concert FX' (fig 4) and follow the instructions below:

IMPORTANT:

• The maximum resolution of the laptop display cannot exceed 1024 x 768
• Refresh rates are limited to 60 & 75 hertz
• Microsoft 95/98 and NT are not supported

1. Connect your laptop to the computer cable located on the right side of the cabinet
2. Press the purple "Play" button on the Visual Concert FX (fig 4)
   (Note this button will glow green and your laptop image will appear on the screen)
3. Press the Far End laptop button (C) to ensure connectivity with participants
4. Press the Laptop button (A) for a higher resolution image of your presentation

4.2 Sharing laptop presentation of participants at other location

1. Press the Far End laptop button (C) on the Audiovisual Control Panel
2. Adjust the Volume buttons (E) to a proper level for the local audience

4.3 Ending your laptop presentation1. Press the blue "Stop" button on the Visual Concert FX (fig.4) When the presentation has been stopped, the stop button turn Red

5. To shut down equipment

1. Turn off the power strip
2. Turn off the projector

There’s no need to turn off videoconference Polycom unit. Please, leave it on.
